Terms & Conditions

1. Introduction

 

Welcome to Snapshot Educational Solutions Pty Ltd (“Snapshot”, “we”, “our”, “us”).

These Terms and Conditions govern the use of all Snapshot software, websites, and related services (collectively “the Service”). By creating an account or using the Service, you agree to be bound by these Terms and our Privacy Statement below.

 

2. Eligibility and Accounts

  1. Users must be at least 18 years of age or have permission from their school or parent/guardian.

  2. Accounts are personal and must not be shared. Schools may create administrator accounts to manage access for teachers, students and parents.

  3. You are responsible for maintaining the confidentiality of your login details and for all activity on your account.

 

3. Permitted Use

 

Snapshot is provided solely for educational purposes within authorised schools or learning environments. Users must not:

  • interfere with, disrupt, or attempt to gain unauthorised access to the Service or its data;

  • upload malicious, infringing or unlawful content; or

  • use Snapshot in any manner that violates applicable law or school policy.

 

4. Intellectual Property

 

All intellectual-property rights in Snapshot software, documentation, graphics, and branding are owned or licensed by Snapshot Educational Solutions Pty Ltd. Users retain ownership of any original teaching materials or resources they upload.

 

5. Availability and Support

 

Snapshot aims to provide high availability and reliable access. We may perform maintenance or updates from time to time. Support is available through in-app help or by emailing support@snapshot-solutions.com.

6. Payment and Trials

 

Schools may access Snapshot on a four-week free trial without providing payment details. After the trial, continued use requires activation of a paid subscription under separate commercial terms. All prices are quoted in AUD and include GST unless otherwise stated.

 

7. Privacy Statement

 

7.1 Kinds of personal information we collect and hold

We may collect and hold:

  • name, email address, role (teacher, student, parent, admin), school or organisation;

  • school-issued identifiers (e.g., legacy student ID or USI if supplied);

  • user-generated content such as lesson plans, assessments, comments and uploads;

  • usage metadata (e.g., login times, device type, app version); and

  • limited billing contact details for school subscriptions (excluding credit-card information).

 

7.2 How we collect and hold personal information

  • Information is collected directly from users and schools through registration, account setup, and use of the Service.

  • Data is stored in Google Cloud Platform (Firebase) data centres located in Australia (Sydney – Australia-Southeast 1).

  • Access to production systems is restricted to authorised Australian-based personnel.

  • Overseas contractors work only with de-identified or dummy data in segregated environments.

  • All information is encrypted in transit (TLS 1.3) and at rest (AES-256).

 

7.3 Purposes for collecting and using personal information

We collect, hold and use information to:

  • provide, operate and improve the Service;

  • authenticate users and manage accounts;

  • enable teachers and schools to deliver educational programs;

  • communicate with users about updates and support;

  • process school subscriptions and invoices; and

  • comply with legal obligations.

 

7.4 Access and correction

Individuals may request access to, or correction of, their personal information by emailing info@snapshot-solutions.com. Requests are verified and responded to within a reasonable time. If a request is refused, we will provide written reasons and information about further recourse.

 

7.5 Complaints and handling of privacy breaches

If you believe your privacy has been breached, please contact us at info@snapshot-solutions.com. We will acknowledge receipt within seven (7) business days, investigate, and respond within 30 calendar days. If you are not satisfied, you may refer your complaint to the Office of the Australian Information Commissioner (OAIC).

 

7.6 Disclosure of personal information overseas

Snapshot does not disclose or transfer personal information outside Australia.

All data, backups and logs remain within Australian Google Cloud data centres.

Overseas contractors have no access to production systems or identifiable personal information and work only with dummy or de-identified data.

Strict access controls and confidentiality agreements apply to all personnel.

 

7.7 Retention and deletion

Personal information is retained only as long as required for service delivery or legal obligations. When no longer needed, information is securely destroyed or de-identified.

 

7.8 Changes to this privacy statement

We may update this privacy statement from time to time. The latest version will be published on our website with the effective date noted above.

 

8. Security

 

Snapshot uses Google Cloud’s enterprise-grade security controls, including firewalls, encryption, role-based access control, and continuous monitoring. Users must keep passwords confidential and notify Snapshot immediately of any suspected unauthorised use.

 

9. Limitation of Liability

 

To the maximum extent permitted by law, Snapshot is not liable for any indirect, incidental or consequential loss arising from use of the Service. Nothing in these Terms limits any rights that cannot lawfully be excluded under Australian consumer law.

 

10. Termination

 

Snapshot may suspend or terminate access to the Service if a user breaches these Terms or if required by law or school policy.

 

11. Governing Law

 

These Terms and the Privacy Statement are governed by the laws of New South Wales, Australia. Any dispute shall be subject to the exclusive jurisdiction of the courts of New South Wales.
